BK · Year-round operations

Books closed every month, not every April.

We reconcile your accounts, categorize every transaction and send you a short monthly report you can actually read. Your records stay current all year, which makes GST/HST, payroll and year-end far easier.

This is for you if

  • You run a small business or corporation and do the books yourself at night — or not at all.
  • You want to know your real profit and cash position without opening a spreadsheet.
  • Your current bookkeeping is done once a year, right before your accountant asks for it.
  • You use QuickBooks Online or Xero (or want to start).

Why it matters

Bookkeeping fails quietly.

Nobody notices a few uncategorized transactions in March. By December there are hundreds, a credit card that was never reconciled, and a GST/HST return built on estimates.

Monthly bookkeeping is less about data entry and more about catching small problems while they are still small.

Scope

What’s included

Every month

  • Bank account reconciliation
  • Credit card reconciliation
  • Transaction categorization to a clean chart of accounts
  • Receipt and bill matching from your connected apps
  • Expense tracking by category
  • Review of unusual or uncategorized items, with questions sent to you in one batch

Money in and out

  • Accounts payable tracking — what you owe and when
  • Accounts receivable tracking — who owes you and how long it has been
  • Loan and shareholder account tracking

Reporting

  • Monthly profit & loss and balance sheet
  • A short written summary of what changed and what needs attention
  • Year-end preparation so your tax return starts from reconciled numbers

Not included

  • Paying your bills or moving money on your behalf
  • Audit, review or compilation engagements (these require a licensed public accountant)
  • Catch-up of prior months — quoted separately as catch-up bookkeeping

Process

How it works

  1. 01

    Connect

We set up read-only bank feeds and receipt capture in QuickBooks Online or Xero, and agree on a chart of accounts that fits your business.

  2. 02

    Close the month

Early each month we reconcile the prior month, categorize everything and gather questions.

  3. 03

    Ask once

You get one organized list of questions — not a drip of emails — and answer them in one sitting.

  4. 04

    Report

You receive your statements and a plain-language summary. Anything that affects tax or cash flow is flagged.

Preparation

What we’ll need from you

  • Access to your accounting software (or we help you set it up)
  • Read-only access to business bank and credit card accounts, or monthly statements
  • Receipts and bills, captured through an app or forwarded to a dedicated inbox
  • Quick answers to the monthly question list

Documents are shared through a secure portal once we work together — never through the website form.

Good to know

Records must be kept
The CRA generally expects business records and supporting documents to be kept for six years from the end of the tax year they relate to.
Bookkeeping is not a tax return
Clean books are the input to your T2, T1 and GST/HST filings. We keep them in the format those filings need.

Questions

Bookkeeping: common questions

Do I need to switch accounting software?

Not necessarily. We work primarily in QuickBooks Online and Xero. If you use something else, we will tell you honestly whether it is workable or whether moving would save you time.

How quickly are the books closed each month?

We agree on a monthly close date during onboarding. Timing depends on how quickly statements and answers come in, so we do not promise a fixed day before we know your setup.

What if my books are already behind?

We start with catch-up bookkeeping to bring everything current, then move into the monthly routine.
